Contractor Journey
Start by completing your Profile, Services, Locations, Questionnaire, and Document Submission. Once these are finalized, your account will receive a ContractorXchange Evaluation.
After receiving your Evaluation score, you’ll be assigned a ContractorXchange Assessment Status. Your evaluation score, document completeness, questionnaire completeness, and subscription billing status contribute to this status.
Clients typically begin their assessments once your CX Status has been established.
Operating System/ Web Browser
We recommend using Google Chrome as your browser when working within your account.
Your Dashboard
When you first log in, you will land on your Home Dashboard. The Menu on the left allows you to navigate through your account quickly. Take a few minutes to get familiar with your Dashboard.
Ensure the 'My Clients' dashboard is enabled
The My Clients section is your organization’s information and displays the following widgets on the Home page:
Documents
Questionnaire
Clients
Locations
Services
Evaluation
ContractorXchange Assessment Status
Your Home page should display these sections by default. If you do not see the above sections on your Home page, turn on ‘MY CLIENTS’ section:
Toggle the ‘I want to provide data for clients’ to show as Yes, from within the Account Status widget (top of Home page).
Complete your ContractorXchange Account
The following guides you through the process of completing and staying compliant within the ContractorXchange (CX) account.
Complete Your Profile
Company Information: Ensure your company name and address are accurate.
Add Users: You can add as many users as you need. For assistance with this, refer to the "How to Add Users" guide.
Logo: Upload your company logo.
Choose your Services
Go to the Services section from the left menu, or click Manage your Services on the Home page.
Select at least one service your organization provides.
The services you select will appear in the Services widget on your Home page.
Choose Your Locations
Go to the Locations section from the left menu, or click Manage your Locations on the Home page.
Choose at least one location where your company operates or performs work for clients.
Selected locations will appear on the Locations map widget on your Home page.
Important Notes:
The location(s) you select determine which mandatory Workers’ Compensation documents are required.
You can find the WCB document requirements on the Submit Documents page in the ContractorXchange list. You will need to upload:
The past 3 years of WCB/WSIB/EMR Premium Rate Statements
The current year’s WCB/WSIB/EMR Premium Rate Statement
The current WC Clearance Letter
If you do not have an active Workers' Compensation account for a location, remove that location from the Locations section.
** Before You Begin the Questionnaire or Submit Documents: The Services and Locations sections must be completed.
Connect with Client(s) on ContractorXchange
You must establish a connection with your client. Making the connection and allowing data access enables your client to view your account data. Your client requires access to your Documents, Questionnaire and Evaluation.
Go to the Connect section to find your client. Read this article to learn: How to Connect with a Client.
Once you connect with a client, the client’s company name, along with the date, will appear in your Clients widget on the Home page. You will also gain access to any client-specific questions (Questionnaire) or documents (Documents) assigned to you.
You can connect with multiple clients for no additional cost.
Complete the Questionnaire
Access the Questionnaire
Click Questionnaire in the left menu.
Select ‘Complete Questionnaire’ to open a new window.
If the questionnaire does not open, enable pop-ups in your browser settings.
Answer the Questions
As you respond, the completeness bar in the Questionnaire widget on the Home page will track your progress.
You can answer questions in any order.
Click ‘Save and Proceed’ at the bottom of each page to save your responses.
Complete All Required Questions
Questions labelled ‘Required for approval by ContractorXchange’ affect your ContractorXchange Assessment Status: ensure they are complete and kept up to date.
Questions added by your client impact client Approval status: ensure they are complete.
Monitor Outstanding Questions
Check the ‘Outstanding Questions’ page regularly

Complete the Document Submittal
Access the Document Submission Page
Click ‘Documents’ in the left menu or within the ‘Document Status’ box on the Home dashboard.
On the Submit Documents page, you will see your overall document completeness and ContractorXchange listed as a client.
ContractorXchange documents are the base requirements for all accounts.
They are the base document submittal to your client.
If your client has additional document requirements beyond the ContractorXchange base set, they will be shown as a Client listed on the Submit Documents page.
ContractorXchange Required Documents
The following documents must be submitted for ContractorXchange approval:
WCB Premium Rate Statements (past 3 years + current year, per location)
Current WCB Clearance Letter (per location)
Certificate of Incorporation (or equivalent)
General Liability Insurance ($2 million per occurrence minimum)
Automotive Liability Insurance ($2 million per occurrence minimum)
Health and Safety Manual (full manual, dated within the last 4 years)
We do check contextual fit to the organization and the possibility of plagiarism.
** Documents required from ContractorXchange must be addressed to ContractorXchange, to you, or to a generic addressee (To whom it may concern). Do not address these to your client.
Submit Client-Specific Documents
If your client has additional document requirements, on top of the base ContractorXchange list, their name will appear on the Submit Documents page.
Click on the client’s name to be directed to their specific document requirements.
Click ‘View Info’ within each document requirement for verification details.
Often, a client may request Insurance Liability with a higher per occurrence minimum amount (eg. $5 million).
If your client has an Insurance request:
** Insurance documents required by your client must be addressed to your client and list the client as additionally insured. The policy must also state 30 days' notice of cancellation.
Maintain Compliance
All 'Required for Assessment' documents must be submitted before your account can be evaluated and approved.
Documents labelled Required for Assessment impact your Assessment Status -keep them current to avoid an Insufficient status.
Keeping your documents up to date ensures compliance with CX and your client(s).

ContractorXchange Evaluation
All questions and documents marked as 'Required for Assessment' must be completed before the account can receive the Evaluation.
Evaluation Process
The ContractorXchange prequalification evaluation assesses key aspects of a subscriber’s health, safety, and environmental (HSE) prequalification submission, based on questionnaire responses and HSE-related documentation. This Evaluation is conducted by credentialed health and safety professionals (CRSP's) and assesses performance, legislative compliance, and alignment with industry best practices.
Results appear in the Evaluation widget on your Home dashboard (bottom of the page). You can view full details in the Evaluation section (left menu), including:

ContractorXchange Assessment Status
Once the Evaluation is complete, the account will receive a corresponding Assessment Status. Your ContractorXchange Assessment Status is displayed in the Assessment Status widget on your Home dashboard. It will display as ‘Not Set’ until the Evaluation is complete.
The Assessment Status is a combination of the Evaluation score, Questionnaire and Document status, and subscription fee.

Client-Specific Approvals
Client Approval Status will display in the Clients box, under the client's name. If they set an approval status, you will see one of the following with corresponding notes: Approved, Provisionally Approved, Not Approved, or Suspended.
Please contact your client directly if you have questions about your approval status with them.
Tasks Assigned by Your Clients
If you have a task assigned, it will show in the Tasks Assigned By Your Clients widget at the top of your Home page. It is assigned directly by your client, not by ContractorXchange (CX).
Review the Task Carefully
Follow the specific instructions provided by your client.
If you need clarification, contact your client directly, not CX.
Mark the Task as Complete
Once you have finished the task, check the box in the Task section to mark it as complete.
Your client will be notified automatically and can review your response or action.
Download your Certificate of Membership
Subscribers with an active account can access their Membership Certificate:
Go to the Account Status widget on the home page (top box)
Click the ‘Download Membership Certificate’ link at the bottom of the widget.
Once it loads, you can choose to ‘Save as PDF’ or print from the bottom of the certificate.
